Go to Sales (Menu) > Order Fulfillment (Sub-menu)
Blank Order Fulfillment Page will be displayed in MAIN tab.
Click Import link located at the upper right corner.
The “Import From” window is shown, allowing users to select the transaction reference they want to use.
If using a Sales Order as the reference, the user must select "Sales Order" as the transaction reference. To input the Sales Order Transaction ID, the user can enter it into the designated ID field and then click the OK button.
If the user does not know the Sales Order Transaction ID, he can use the Sales Order Search Page by clicking the magnifying glass.
Sales Order Search Page window is shown, allowing users to search for the Sales Order from various criteria.
Users can search by Sales Order ID (Transaction ID), Sales Quotation, or by Customer and Date Range.
If the user wants to search by Customer and Date Range, they can either use the magnifying glass to look up the customer record or manually enter the customer ID in the Customer field.
Once customer ID has been filled in correctly, a blue hyperlink representing the customer's name will appear next to the magnifying glass. If the user has access, this link allows them to navigate to the customer page to view the Customer Information.
User must enter the desired date range in the "From" and "To" fields and then click the search button on the right side. This action will prompt the system to initiate the search process.
After clicking the search button, all Sales Order results are displayed in descending order below the Sales Order search criteria. Additionally, the system shows the total number of records found at the bottom left corner of the window.
The user must choose a transaction ID from the results to read a record. This can be done by hovering the mouse over the transaction ID, which will be highlighted in blue to indicate that it is the selected transaction and clicking on it.
After clicking the selected sales order, “Import From” dialog box is displayed containing the chosen transaction ID. If the user wishes to proceed, he should click the “OK” button. Otherwise, click the "Cancel” button.
After clicking the OK button, the Import From window will be closed and the Order fulfillment Page is displayed containing the information from the sales order. This includes details such as the Customer, Contact Person, Customer P.O No., Salesperson, Mode of Shipment, billing address, shipping/delivery address, items, quantity, sales UOM.
The user can either save the transaction first or continue to modify the information before saving. If the user wishes to save the transaction, click the “Save” link at the upper right.
Going back to the Import Search page, the other option is to use the Sales Quotation search criteria to search for the sales order. If the user knows the Sales Quotation Transaction ID, he can manually enter or pasting the value to the designated field and press enter to trigger the validity of sales quotation transactions.
Otherwise, user can use the magnifying glass to search for sales quotation ID.
Once the Sales Quotation is entered correctly, a blue hyperlink displaying the sales quotation information will appear next to the magnifying glass. This link enables the user to easily navigate to the sales quotation page, provided they have access, to view the sales quotation details.
The user should click the search button on the same line as the Sales Quotation ID, located on the right side, to initiate the search process.
This can be achieved by hovering the mouse over the transaction ID, which will be highlighted in blue to indicate it is selected, and then clicking on it.
After clicking the selected transaction ID, follow steps 11 - 14. The user should now be familiar with how to generate Order Fulfillment using the Sales Quotation Search Criteria.
Returning to the previous search criteria, which is the Sales Order ID, if the user knows the Sales Order Transaction ID, they can manually input or paste the value into the designated field and press the “Enter” key to start the search process. Alternatively, the user can click the search button on the right to initiate the search instead of pressing the “Enter” key.
After clicking the search button, result(s) will be displayed. User must choose a transaction ID from the results to generate an Order fulfillment. This can be done by hovering the mouse over the transaction ID which will be highlighted in blue to indicate that it is the selected transaction and clicking on it.
After clicking the selected transaction ID, do steps 11 - 14. Now the user should know how to generate order fulfillment using the Sales Order Search Criteria.
